Please Note: This tutorial assumes you have an account with Avery and are somewhat familiar with the Design & Print software. It also assumes you have access to Google Sheets.

Step 1 - Export a Code List file from Quail/Sandpiper

Using either Quail or Sandpiper, choose the Code List template and validate/print the barcodes you’re wanting to print. This will create a file that will be downloaded on your computer that can be imported into Google Sheets to use within Avery Design & Print.

Code List Selection

Step 2 - Import a Code List file into Google Sheets

Once you have that file, you can go to Google Sheets and select a new Blank Spreadsheet and then select Import:

Then you will choose Upload and find the file from Browse (or drag and drop it onto the upload area)

After Google Sheets uploads the file it will ask you how to import the data. The default settings should work, but if not these are the settings to use:

Finally click Import data  and you’re all set!

Step 3 (Optional) - Modify the Sheet

If you plan on using your design with different barcodes in the future, then you will need to add headers to your columns. This will make it to where Avery will use the same text boxes without having to change anything else. This will save a lot of setup time with subsequent Code List files. To do this replace the top row with appropriate headers. We use Barcode, Inventory, Booth, Description, Price. This is what it should look like after those are set in Sheets:

Step 4 (Optional) - Download as a CSV file

With your file set and imported into sheets, you can use it as is by linking your Google account to Avery. However, if you don’t want to do this, you can download the Google Sheet as a csv file. This is the recommended format for your information according to the Avery website. To do this click File->Download->Comma Separated Values (.csv) here:

This will download a copy of your Code List spreadsheet in the csv format. Now it is time to use the Avery software!

Step 5 - Choose a Template

If you’re wanting to use the label sheets that work inside of Quail, you’ll need to select one of the following templates:

  - 5161 for 4”x1” labels
  - 5160 for 2 5/8” x 1” labels
  - 5167 for 1 3/4” x 1/2” labels

With the Avery software you aren’t limited to just these label sheet sizes. You can use any size you’d like provided the barcode will scan properly. We encourage you to test this before printing all your labels.

Finally, you can choose from a selection of designs. Most of these designs are suited for address labels, so we recommend just choosing the blank design and working from there.

Step 6 - Import Your Barcodes

Now to adding the elements of your label! The first one you will want to add is the barcode. We strongly suggest you add this one first because you have to reselect your spreadsheet to get the barcodes to work correctly later if you don’t. This has a tendency to remove Text Box linkages with other fields in your spreadsheet. So do this one first! To add a barcode click the QR and Barcodes icon then Add QR/Barcode.

Then select Spreadsheet from your choice of options:

This is going to open a dialog with a couple of options to choose from. You can either link your Google Drive or upload the downloaded csv file (from Step 4). This guide is going to assume you’re uploading a csv file. Select Upload and then the Browse For File  button. Select your file (you will need to find where it was downloaded) and click Open. This will load your spreadsheet and then bring you to the Choose Fields screen. You will just need to uncheck the checkbox below to bring in all your data correctly. If you don’t uncheck this, you will have one label that has your headers and is unusable and more importantly replacing the spreadsheet with another one later won’t work properly! So be sure and do this. Finally click Next  to move onto choosing the field for barcodes.

Now you’ll need to select the Barcodes field for your barcode text box. And drag it into the Enter alphanumeric and special characters field:

And it will look like this if successful:

You can uncheck the Display text below code checkbox if you prefer.

Finally click Finish and your barcodes will be on your labels!

You’ll want to resize and move this to where you’d like on your label. Now onto the other fields!

Step 7 - Drag Other Label Elements Onto Label

To fill out the rest of your label, select the Import Data area and then drag and drop any of the other elements one at a time onto your label.

This will give you a label somewhat like this:

At this point, you can select through different labels in the Navigator pane to make sure all the data is correct. Clicking a new label there will update the label in the editor.

You are close to printing your labels now!

Step 8 - Add Other Label Elements Onto Label (Optional)

Before printing you may want to highlight the price and/or booth number by actual adding text denoting that on the label. Add any additional text or images you’d like to the label.

Feel free to add whatever you’d think would be needed for your label, but try to keep the barcode section free of other text/images and at a decent size or it may not scan at the store!

Step 9 - Print Your Labels

When you feel like your labels are set correctly, click the Preview & Print section here:

Then you just need to select GET PDF TO PRINT on the right side. Before doing that, you can select Show Print Options to get more options on how the labels print.

If you’ve had alignment problems printing directly from Quail/Sandpiper in the past, you may want to use the Adjust Print Alignment section here:

This can help align your print, but we strongly suggest you try and print onto a page before adjusting any of these settings.

Once you click GET PDF TO PRINT, Avery will ask you to save your project. Do that and then either open the PDF in a new browser window or download it for printing later. You’re all set!

Step 10 - Reusing Your Avery Label Project With Another Code List (Optional)

To swap your Code List and update your labels to a new Code List, you’ll need to first open your project file then highlight any one of the text’s boxes on the label where it is selected with a solid box. This can be tricky to select. I find that selecting the text box where it is highlighted like this:

Then clicking on one of the white anchor points (circles) will make the selection solid and then Avery will know to replace the fields in the text box with the new data.

Now that the text box is selected, the data can be replaced by selecting Import Data and then Replace Spreadsheet.

Then you can upload your new csv file. Remember to uncheck the header row of the csv file here:

Remember: The new csv file will need to have the same headers as the previous file for the replace to work correctly!

Click Next after unchecking the first row, which will bring you to ARRANGE FIELDS. This section should have one field already chosen. It should be the box that was selected before choosing to replace spreadsheet. In this example it is the booth element.

In this example, Avery is showing some of the new data (SAV) when it was SFH with the previous spreadsheet. This is correct because they are both booth ids so everything is matching as expected. Click Next and Finish (in the Navigator section) to swap out all your data! Avery Design & Print should show your designed label updated with new data. You can click through on the Navigator pane to make sure everything has updated as expected. Finally, print as needed!
